ERP Solution for Vegetable Business Operations and Management

The Client

The client is a state government-established federation organized in a three-tier cooperative model. This federation focuses on creating a "Central Processing Hub" for post-harvest management, storage, and marketing of vegetables. The goal is to enhance farmer profitability and ensure a fairer share of consumer prices while improving marketing efficiency.

The Challenge

The client sought a comprehensive ERP solution to manage their extensive cooperative structure. They needed a technology partner capable of developing and implementing an ERP system that would replace paper-based processes. This solution had to support vegetable business operations across various levels: individual farmer management at the society level, and integration with Union B2B, B2C, and B2G operations up to the federation level.

The Solution

We chose to implement the SAP ERP system based on a detailed analysis of the client’s requirements. Our approach included process re-engineering, which involved designing hardware, network infrastructure, security frameworks, integration/interface requirements (including APIs), and ensuring compatibility with legacy systems. We secured the necessary ERP licenses and related software, including databases, integration tools, and additional components.

The SAP ERP application was customized based on the client’s requirements. We integrated various applications and solutions used by the federation into the new ERP platform. Our team supported data collection, cleaning, and migration strategy preparation to transition legacy data to the new system. We implemented several modules, including Finance & Accounting, Pricing Management, Quality Management, Human Resources, Supply Chain Management, Project Management, Marketing, Farm Management, and Land Management.

The Benefits

The ERP solution streamlined the client’s business processes and helped achieve their objectives. We developed and integrated various project management tools, including MIS systems, farmer databases, land details, asset information, baseline survey data, project planning, monitoring tools, resource planning, project costing, work breakdown structures, and bid process management modules.

The ERP system provided features such as crop scheduling, crop mix planning, practice packages, production templates, harvesting templates, demand and supply forecasting, indent finalization, and SMS-based weather forecasting. It enabled geo-tagging and geo-fencing of farmland, including details on property registration and GPS tagging.

For reporting, the system included the following.

Farmer Dashboard: Information on demand, order quantities, invoices, payments, P&L, and crop advisory.

Society Dashboard: Consolidated data on farmer members, stock levels, purchases, sales, and farmer-specific reports.

Union Dashboard: Aggregated data on societies, demand, order quantities, P&L, and society-specific purchase and sales reports.

Federation Dashboard: Overview of all unions, demand, order quantities, P&L, union-specific purchase and sales reports, and asset registers.

The ERP system also offered the following functionalities.

Recruitment Interface: Online job postings, resume bank, skill mapping, training records, leave management, payroll integration, performance incentives, employee benefits, provident fund, diversity management, retirement, and separation planning.

Warehouse Management: Functions for labeling, grading, coding, tagging, transport management, material management, supply chain planning, supplier scheduling, carriage fees, transport delivery notes, invoicing, bill of materials, product configuration, order-to-cash processing, management of inventory management, processing claims and GPS-enabled logistics.
